Most photocopier price lists online sort by brand, as if the badge sets the number. It does not. Two machines from different makers in the same class cost about the same. Two machines from the same maker in different classes can be ₹2 lakh apart. Here is what sets the price, and when buying a machine stops being the right call.
What sets the price
Multifunction copiers are priced by class:
- Entry laser MFP. Built for light, steady counter volume. Print, copy and scan, with no finishing extras.
- Mid-range multifunction copier. A higher monthly duty cycle, faster printing and better paper handling.
- Heavy-duty production copier. Built for continuous high-volume runs. This is the class a busy college-gate shop needs.
Every major maker sells machines in all three classes. Compare machines in the same class, not makers.
Price bands by class (2026)
| Class | Price range | Built for |
|---|---|---|
| Entry laser MFP | ₹50,000 to ₹80,000 | Light, steady volume. Good for a new shop testing demand |
| Mid-range multifunction copier | ₹1,00,000 to ₹1,50,000 | An established shop with moderate footfall |
| Heavy-duty production copier | ₹2,00,000 to ₹3,00,000 | High-volume shops at college gates and market streets |
These match the bands in our print shop investment cost breakdown.
Get a written quote before you commit. Dealer prices vary by city, by new or refurbished, and by whether a service contract is bundled. A quote without those terms in writing is not a real quote.
The spec that matters more than the badge: duty cycle
The rated monthly duty cycle decides whether a machine survives your shop. It is the number of pages a month the maker certifies the machine to handle without extra wear. Every maker publishes it. Few buyers check it.
Buy below your real volume and the machine wears out early. Repairs and downtime eat whatever you saved. Buy for your busiest day when an average day is much lighter, and you pay for headroom you rarely use. Both mistakes come from skipping one number on the spec sheet.
No volume data yet? Estimate from footfall you can see. Walk the street and count the queues at nearby shops at peak times. Do not rely on a dealer's projection.
When a copier is not the right buy
If you are opening your first shop, comparing copiers is the right research. If you already run a shop and want a second channel for self-service or after-hours orders, the decision is different.
A copier is the right buy when you need more counter capacity. It is the wrong buy when you need customers to print without you. A self-service kiosk takes the upload, the UPI payment and the print queue itself, so it does not compete with your counter for staff time. Print kiosk vs your own printer covers this in detail.

What does a photocopier cost in India in 2026? Entry laser multifunction copiers start at about ₹50,000. Mid-range machines cost ₹1,00,000 to ₹1,50,000. Heavy-duty production copiers cost ₹2,00,000 to ₹3,00,000. Get a written quote for your model and city.
Which maker is cheapest? None is cheaper across the board. Price follows class, not maker. Compare machines in the same class.
Should I buy a fully automatic photocopy machine? "Fully automatic" usually means automatic document feeding, duplex printing and finishing options. These help with volume. Check that the rated monthly duty cycle matches your real volume before paying extra.
I already have a copier. How do I add self-service printing? Read print kiosk vs your own printer. A Snaprint kiosk is a complete machine with its print engine built in, so it runs alongside your counter.
